The Everything vs ServiceNow

One is a platform you build on. One is an automation layer that runs your work. The right answer depends on whether you have a platform team.

The short answer

ServiceNow is an enterprise workflow platform. It began in IT service management and now spans service delivery, operations and governance, risk and compliance, with an application framework organizations build their own workflows on. It is a genuinely powerful platform, and like every platform it is something you staff, build on and own. The Everything is not a platform. It is an AI automation layer over the Microsoft 365 you already run, which executes a real process end to end with approvals, permissions and an audit trail. If you are standardizing enterprise service delivery across a large organization with a team to run it, that is platform territory. If you want a specific process to stop taking three weeks, that is The Everything, live in days, with no platform team required.

Their strengths

What is ServiceNow genuinely good at?

ServiceNow is an enterprise workflow platform. It grew out of IT service management and now covers service delivery, operations, and governance, risk and compliance, with an application development framework on top so organizations can model their own workflows rather than being limited to what ships. Its real strength is standardization at scale: one place where requests, incidents, changes, controls and services are modeled the same way across a very large organization, with the integration surface to pull the rest of the estate into it.

  • Standardizing service delivery across a large estate

When thousands of people need to request, escalate and track things consistently, a single platform doing it one way is worth what it costs.

  • A build-your-own application framework

You are not restricted to packaged processes. Organizations with the capability to build on it can model almost anything they need.

  • Breadth across service, operations and risk

Covering IT, employee service, operations and GRC on one data model avoids the reconciliation problem that comes with a separate tool for each.

If you are running enterprise-scale service delivery and you have the team to operate a platform, this is the right category and ServiceNow is a leading product in it.

The trade-offs

Where does the platform approach get hard in practice?

This is the cost of the enterprise platform category, not a criticism of any one vendor. A platform is a capability you take on, not a product you switch on. Someone has to design the data model, build the workflows, maintain them, and own the platform through upgrades — usually a mix of internal specialists and an implementation partner. That is a sensible investment at enterprise scale and a disproportionate one below it.

  • It needs an owner with real capability

Platforms reward organizations that staff them. Without internal specialists or a standing partner relationship, the build backlog grows and the platform slowly stops reflecting how work is really done.

  • Everything has to be modeled before it runs

Workflows are defined explicitly, up front. Work that is messy, exception-heavy or arrives as unstructured email has to be forced into a structured model first, and the awkward cases end up outside the platform.

  • Enterprise platforms have an entry cost floor

Platform categories carry a commercial and operational floor — licensing, implementation and ongoing ownership — that only makes sense above a certain scale. Below it, organizations buy a platform and use a fraction of it.

  • It is another destination for staff

People work in email and chat. Every workflow that lives somewhere else is a context switch, and the workarounds that follow are where process data quietly goes missing.

The question to answer honestly before buying in this category: do you want a platform to build on, or do you want a specific process to stop taking three weeks. They are different purchases and only one of them needs a platform team.

Our approach

What does The Everything do instead?

The Everything is not a platform you build on. It is an AI automation layer over Microsoft 365 that runs the actual work: reading what arrives, doing the preparation, stopping for the human decisions that matter, chasing what has not come back, and logging all of it. Nothing has to be modeled in advance, because the AI reads unstructured work — email, attachments, requests — as it comes in.

  • Process definitions

The steps, owners, conditions and exceptions of a real process, written once and then executed. Exceptions are handled rather than pushed outside the system.

  • Approval and authorization engine

Anything consequential stops and asks a named human in Teams, with the context needed to decide. Approve or reject, and the process resumes from exactly where it paused.

  • Audit logging

Every action, input, decision and approval recorded as it happens, so accountability does not depend on anyone remembering to update a ticket.

  • RBAC and permissions

Enforced per person and per action from your existing Microsoft 365 identity. No second directory to build and no separate access model to keep in step.

  • Governed-asset stewardship

Templates, reference documents and standing assets the AI is required to use, so outputs are consistent across people and over time.

  • Microsoft 365 native

It runs inside Outlook, Teams and SharePoint over the content already there. No migration, no new destination, no platform to stand up first.

A first workflow is live in days. There is no implementation partner to procure, no platform team to hire and no data model to agree — which is exactly why it suits organizations that need the outcome without taking on the capability.

Our limits

What does The Everything explicitly not do?

The Everything is not an enterprise workflow platform and we are not going to describe it as one. There is no application development framework to build your own products on, no service catalog or configuration management database, no ITSM suite, and no ambition to become the single system every department models its work in. If what you need is an enterprise platform to standardize service delivery across a very large organization, buy one — we are an automation layer over the Microsoft 365 you already run, not a platform to build on.

  • It is not a system of record

It does not replace your ERP, your document store, your CRM or your ticketing system. It runs the work between them and leaves each one holding what it holds.

  • It is not a statutory records system

No retention schedules, no disposal authorities, no legislated recordkeeping. The audit log records what happened in a process; it is not a record register.

  • It does not take the decision off a human

By design, consequential actions require a named approver. Fully autonomous action with nobody accountable is not something we offer.

The trade is explicit. You give up a general-purpose platform you can build anything on. You get a specific process running end to end, with approvals and an audit trail, without hiring a team to own a platform.

Common questions

Is The Everything a ServiceNow alternative?

Only for a specific kind of buyer. If you need an enterprise platform to standardize service delivery across a large organization and you have a team to run it, The Everything is not a substitute. If you want particular processes automated end to end without taking on a platform, it is a genuine alternative to buying one.

Do we need a platform team or implementation partner?

No. There is no platform to stand up, no data model to agree and no development framework to learn. The process definition describes the work, the approval engine handles the human decisions, and it runs inside the Microsoft 365 you already administer.

Does The Everything replace our ticketing or service management system?

No. It is not a system of record and does not hold your tickets, your CMDB or your service catalog. It runs the work between systems and leaves each one holding what it holds.

What happens with messy work that does not fit a structured workflow?

That is the case it is built for. The AI reads unstructured work — email, attachments, requests in Teams — as it arrives, rather than requiring every path to be modeled up front. Exceptions are handled inside the process instead of being pushed outside it.

How is accountability enforced without a platform behind it?

Anything consequential pauses and asks a named human in Microsoft Teams with the context needed to decide. Permissions are enforced per person and per action from existing Microsoft 365 identity, and every action, input, decision and approval is written to an audit log.
